The short version
We collect two things only: the request you write, and your email. They're used to do the job and send your letters. Never sold, never given to anyone for advertising. You can ask for a copy, a correction, or full deletion at any time.
What this covers, and who is responsible
This page explains how “MailMeWhen” collects, uses and stores your information. The service is provided by [fill in your company or personal name], who is responsible for your data (the “data controller” in legal terms).

What we collect
What you give us: the request you write (or speak), and your email address.
If you hold the button and speak, we receive and store that voice recording to understand and carry out your request (it may be processed by the AI services working for us). Typed requests stay text only.
Created automatically: basic server access logs (IP address, time of access) used to prevent abuse and fix problems, deleted regularly.
If you subscribe: payment is handled by a third-party payment provider. We never see or store your card number or account.
What it's used for
Doing what you asked: turning your request into a task that runs daily. This step uses AI services to understand your words and prepare each day's letter.
Writing to you: the daily letter, plus necessary service notices (the confirmation letter, a trial-ending reminder, notice of material changes to the terms or this page).
What we don't do: no ads, no other use of your email, no profiling to sell.
Who handles your information
Only the service providers needed to run the service: cloud hosting, email delivery, payments, and AI model services. They may process your information only on our instructions and never for themselves. For the current list, just write to hello@mailmewhen.com.
Beyond that, we disclose information only when the law forces us to (for example a lawful order), and where allowed we will tell you.
Where it's stored
We serve users worldwide, so your information may be stored and processed on servers outside your country or region. Wherever it lives, it's protected as described here.
How long we keep it
While you use the service: we keep your request and email — otherwise we can't do the daily work.
After you stop (unsubscribe, or the trial ends without subscribing): letters stop, and we delete your request and email within 30 days. Records the law requires us to keep (such as payment records) are kept for the legal period.
Requests we declined and you agreed to be notified about: kept until we write to say we can do it; reply anytime that you'd rather not wait and we delete it.
Want it gone right away instead of in 30 days? Write to hello@mailmewhen.com and we'll delete it and confirm by mail.
Your rights
Any time, by writing to hello@mailmewhen.com: get a copy of what we hold about you; correct it; delete it entirely; stop all mail (or just click the “stop” link in any letter). We'll do it within a reasonable time and confirm by mail.
If you believe we've handled something wrongly, you also have the right to complain to the data-protection authority where you live.
Stopping others from using your email
To stop someone from signing you up without your consent, we first send a confirmation letter. Daily letters start only after you click to confirm. Unconfirmed submissions are deleted.
Security
The site and mail delivery are encrypted in transit, and only the people who must maintain the service can touch the data. No system is perfectly secure — if a breach ever affects you, we'll write promptly to say what happened and what we did.
Children
The service is not for children under 13. If we learn we've collected a child's information, we delete it.
Cookies
This page currently uses no cookies and no tracking of any kind. If that ever changes, we'll update this page first.
Changes to this page
If this page changes in substance, we'll tell you by mail before it takes effect. Every revision updates the date at the top.
